Instructions for Chairpersons and Presenters
I. For Chairpersons
  1. Please go to the Chairperson’s Counter in front of each lecture room at least 20 minutes before the start of your session.
    Poster Chairpersons should go to the Poster Session Registration Desk and arrive at your poster panel at least 20 minutes before the presentation time.
  2. Respect the timing allowed for the session and each presentation.
II. For Oral Presenters
  1. We will only accept PCs with a single screen for oral presentations.
    Please note that slide projectors and video players will not be available.
  2. For Windows data*, please store your presentation file on a USB flash memory drive or CD-R. Use only the hybrid format (ISO 9660) when writing to the CD-R. For Macintosh data, please bring your own PC**.
  3. Please visit the Speakers Preview Center on the 2nd floor of Kyoto International Conference Hall at least 30 minutes prior to your presentation, and submit your presentation file after the final check with the staff.
  4. During your presentation, you will be responsible for controlling your slide using the PC mouse and numeric keypad on the presenter’s podium.
  5. Presentation length differs based on the session type and number of speakers. Each speaker has been informed of their presentation length. Please respect the timing allowed for your presentation.
*For presenters using data (Windows only)
  1. We recommend OS Windows 2000 or later.
  2. Presentation files must be prepared with Windows PowerPoint 2000, 2002, 2003 or 2007. To avoid display problems with your presentation, use only standard OS fonts as follows: Times New Roman, Arial, Arial Black, Arial Narrow, Century, Century Gothic, Courier, Courier New, Georgia.
  3. You can use animation or movies. If you use them in your presentation, movies should be playable with codec included in the default mode of Windows (OS) or Windows Media Player. We recommend that you use movie files in MPEG1 format.
  4. You can use audio.
  5. A maximum of 700MB is allowed, including movie files.
  6. Note that the projection screen used is of XGA resolution (1024x768 pixels).
  7. To avoid the possible spread of computer viruses, scan your presentation files beforehand with updated anti-virus software.
  8. Any copies of your presentation file that we received will be completely deleted after the forum.
**For presenters using own PC
  1. There are no restrictions on PC model, OS or application. Note that all PC cable connectors provided are D-sub 15 adaptor type. Otherwise, please prepare an accessory connector yourself.
  2. Movies and audio are available. You must check your presentation files at the guest room for the international forum beforehand.
  3. Note that the projection screen used is of XGA resolution (1024x768 pixels).
  4. Turn off Screen Saver, Power Saving, Virus Checker and Password features in advance.
  5. Please provide your own PC adaptor.
  6. Please make a backup file for safety reasons in case you lose the data.
  7. After your presentation, collect your PC at the PC Operation Desk located at the left front of the conference room.
    INSTRUCTIONS FOR CHAIRPERSONS AND PRESENTERS
III. For Poster Presenters
Preparation
  1. The total available space for a display panel is 90 cm (width) X 180 cm (height) (including the space for the presentation number).
  2. Speakers are requested to prepare a paper tag to indicate the title of presentation, name of the author(s) and affiliation(s) in a space of 70 cm (width) X 20 cm (height). A poster should not exceed the display size of 90 cm (width) X 160 cm (height).
  3. Although the layout of the poster is left to the speakers’ discretion, speakers are requested to arrange the poster in the order of (1)Purpose (2)Methods (3)Study/Consideration (4)Results. Speakers are also requested to prepare all text in English, and all characters/charts should be large enough to be legible from a distance of 3 meters.
Schedule/ Poster Area
All speaker are requested to follow the above schedule in mounting and removing their posters on the assigned panels. Posters that have not been removed by the end of the Removal Time will be discarded.

Procedure

All speakers are requested to stop by the Poster Reception Desk in front of the poster session room to receive thumbtacks and a speaker ribbon that should be worn to identify the presenter during the Poster Session.
Also, all speakers are requested to mount his/her poster on the panel assigned by the congress secretariat by 10 a.m. on the day of presentation.

Speakers of the poster session are expected to wait ready in front of your poster panel at latest 5 minutes prior to your session. Since presentation times for each speaker is 10 minutes in total (7min presentation +3min discussion), please keep the time to ensure smooth proceedings, according to chairperson’s moderation.
